Brief discussion regarding being prepared for the long Haul, Finances and motivation and supporting each other along the way.

3. Incoming Correspondence, Discussion and progress from previous
*Sonia Walker: Unfortunately the Blue Bay motor camp in Mahia no longer exists. She will now with assistance from her children research the Marae in Mahia.
Suzzanne Baird suggested she will be traveling to Mahia in the next few weeks and will be able to assist in further researching the Marae.
NOTE: We must consider a back up if reunion is to be held at the Marae due to unforeseen circumstances such as a

Committee and further members acknowledges comments regarding David Carroll’s final resting place, but further issues will not be discussed within a Reunion Hui.
Also Committee members believe the decision to his final resting place should lie with Sam and Jane Carroll.
Query as they are first and foremost unsure as to why he was left with them initially.
Furthermore, Sam Carroll Gave a brief discussion regarding a Tohunga (Spiritual person) who came to see him personally.
This Tohunga stated there are x2 photo’s missing from 108 Colombo Street Masterton. Was loaned to a person’s and was not returned. The Tohunga stated the spirits of these photos’ wish to be returned to the above address.
The missing photo’s are as follow’s

*Grand Father and Mother Carroll
The whanau wish to have these photo’s returned to their rightful place ASAP.
* Also stated David Carroll would like to be returned to Bideford under the tree by the old house down the valley.
And for prayers to be said.
- Georgina Carroll asked if this was possible, Sam Carroll stated he was unsure if possible, query the land sold or being used for forestry but would further investigate.
- Nicci Carroll Suggested scattering SOME of him around his tree in Bideford and then placing his remanding ashes with Helen and Maurice Carroll.
- Georgina Carroll Asked about the cost to laying David Carroll to rest With Helen and Maurice Carroll. Unsure of cost at this time.
- Nicci Carroll Has been in touch with Tina Nelson and will get back in touch with her again before the next hui.
- Sam Carroll Stated we need to speak with elders of Mahia about our whanau being invited back to Mahia for our whanau reunion.

4. Election of committee member and Postions.

VOTED- All in attendance in favour of the above position’s.
5. Reunion Website progress
Georgina Carroll updated whanau regarding progress. Thus far the following results from polls show.
* 85% Would like the reunion held in the Christmas holidays prior to work and school going back
* 86% Would like the reunion to be held for 3-4 days.
* 16 Registration’s so far have stated they are willing to help with Activities. Georgina suggested a Working roster per family. Ie One whanau to prepare Breakfast, Lunch, Dinner, Cleaning of ablutions etc.
* Need more registration from all three whanau.
* Georgina Carroll also stated on the whanau website there is a “SHOP” where you can set up an Automatic Payment Scheme if whanau
wish to proceed that way. They will be given a order number once a payment has been made. Please keep this number as reference.
6.Final and confirmed date for reunion to be:
10th of January 2014
- Registration closes 30th June 2012. And a non-refundable deposit of 50% of the fee is required at time of registration and an automatic pay, secure pay system has been created for those who wish to make payments over time.
7.Numbers of days Reunion Held for Final and Confirmed
The reunion will be held for 3-4 days
8.Final registration fee’s
* Two adults and UP TO four children $300
* Two Adults and UP TO Two children $250
* Single Adult $100 pp
* Extra Child or Children $25 pp
Registration Closes the 30th Of June 2012
Registration fees will cover the cost of Kai and daily living, E.g. chiller’s if required and toilet paper etc.
The above registration fees are final.
Please note an adult is classed as 18 years and over and a Child 17 years and younger.

9. Fundraising
Georgina Carroll stated she had found a sponsor to assist with fundraising by supplying “Scratch and wins”
Noted by committee members that more whanau support with fundraising will be appreciated.
Money raised through fundraising will cover the cost of activities, Guided bus tour, hire of equipment etc.
10. Target budget
Target budget to be confirmed at a later date.
Suzanne Baird suggested once payed in full no refund will be given for a last minute “Pull out’s”
Georgina Carroll suggested Kaumatua’s come for free but are welcome to make a donation.
